The brief

Global SaaS organisation, monday.com wanted to bring together existing and prospective customers to inspire and find new ways to excel. As well as hosting VIP C-suite guests, the two-day event would also build in certification classes to allow attendees to develop their skills.

Our approach

With an ambition to double the scale of the event from 2023, we set out to create an experience that felt more than ‘just another tech event’, Our goal was to create an immersive environment where guests could spend all day learning, discovering and networking, as well as a comfortable place to eat, drink and relax.

Having partnered with the client for three years, we understood their vision. The challenge was finding a ‘green’ venue which offered a blank canvas at the scale required.

With sustainability and accessibility at the heart of our event design, we chose ExCel London, one of the UK ‘s leading international exhibition and conference centres, whose exemplary ESG credentials matched our client’s values.

We brought in a creative director who worked closely with the client, translating their updated design and brand guidelines into achievable build elements and creating a logical and engaging guest journey.

With the event design featuring flexible ‘pick and choose’ speaker sessions on both the main and small stages, we focused on creating engaging spaces beyond the plenaries. As well as sponsorship stands and demo booths, we introduced all-day food trucks and snack stations, relaxed seating for networking and quiet areas for guests to work.

The Result.

The transformation of ExCel’s four South Hall areas into an energising space involved a three-day build and a mammoth production effort (including 667 crew meals!)

To streamline the onsite registration experience, we partnered with Crowdcomms, whose ‘meet and greet’ sign in process used on-demand badge printing from 10 kiosks. This meant attendees could get started without delay and avoided the unnecessary waste of pre-printed badges.

Hosting 850+ delegates over two days, the space offered a main plenary space for up to 1000 attendees and small plenary for 200, as well as an open interview filming studio. Through clever design, we also incorporated four 1:1 meeting pods, a community lounge, networking areas with a central bar and food trucks, activation stands and sponsorship booths.

For VIPs, we curated an exclusive lounge experience featuring a private lunch, drinks reception and guest speaker ‘meet & greet’. Meanwhile, workshops and masterclasses were held in gallery rooms overlooking the River Thames, a stunning setting for learning and development.

ESG ACHIEVEMENTS
‣ Upholding the client’s sustainability goals was key to the event:
‣ 100% of the venue’s electricity comes from renewable sources and all gas is accounted for through Voluntary Carbon Offsets (VCOs)
‣ To save energy, lighting systems remained at 50% during build days and 100% on live event days
‣ 56% of complimentary food served was vegetarian and vegan
‣ Post-event, 97% waste was recycled or re-used from the event, with event resources donated to local charities. Even seeds from the green booth went to a local beekeeper!
